PlayaOS uses a single shared camp calendar in Google Calendar as the source of truth for camp events. Once a super admin connects Google services and selects (or creates) the calendar, every admin can view upcoming events, create new ones, and sync member birthdays and travel dates from the Admin → Calendar page.
The Calendar admin page is locked until a camp calendar is configured. If your camp hasn’t set one up yet, the page shows a prompt to a super admin to configure it in Settings.

Prerequisites

Before you can set up the camp calendar, the super admin who will configure it needs:
  • A super admin role on your camp (only super admins can choose or create the camp calendar)
  • A Google account with permission to create calendars or share an existing one with the camp
  • The Google Calendar integration connected in Admin → Settings → Integrations → Google Services
Once Google Calendar is connected, the Camp Calendar panel appears on the Integrations page.

Configuring the camp calendar

Navigate to Admin → Settings → Integrations. After connecting Google services, scroll to the Camp Calendar section. You have two options:
  1. Open the Select an existing calendar dropdown. PlayaOS lists every calendar your Google account can write to, with the primary calendar marked (Primary).
  2. Choose the calendar you want to use as the camp calendar.
  3. Click Save.
The selected calendar becomes the shared camp calendar immediately.
After configuration, the panel shows the configured calendar name and a green check. To switch to a different calendar later, click Change and pick another calendar or create a new one.
Only super admins can configure or change the camp calendar. Other admins see the configured calendar in read-only mode and an explanation that a super admin must set it up if it isn’t configured yet.

What “page lock” means

The Admin → Calendar page has two unlock conditions: Until both checks pass, no events can be created or synced. This guarantees every admin in your camp is reading from and writing to the same calendar.

Using the calendar admin page

Once configured, Admin → Calendar shows:
  • Stats for the next 30 days — total events, synced birthdays, and synced travel dates.
  • Create Event — add a one-off event directly to the camp calendar.
  • Sync — push member birthdays and travel dates from PlayaOS into the camp calendar so they appear alongside other camp events.
  • Upcoming Events (30 days) — a live list of everything on the camp calendar in the next month.
Share the camp calendar with the rest of your admin team in Google Calendar so they can subscribe to it from their own Google account, even if they aren’t the one who configured it in PlayaOS.

Troubleshooting

The Camp Calendar panel doesn’t appear in Settings → Integrations. Google Calendar isn’t connected yet. Connect it in the Google Services panel on the same page, then refresh. Non-super admins see “No camp calendar configured.” A super admin needs to complete the configuration steps above. Other admins can’t perform the setup themselves. The Calendar admin page suddenly shows the configuration prompt again. The configured Google Calendar may have been deleted or its access revoked. Have a super admin pick a different calendar — or create a new one — under Settings → Integrations → Camp Calendar.
